Before you send a document, you decide who is involved and in what order. This page shows you how to add signers, set the signing order, and add approvers and copies.

Who can be on a document

Every person on a document falls into one of four roles:
You can include up to 50 people total on a single document, in any mix of roles.

Signing order options

Suresign gives you two ways to run signatures: Example: Alex Chen signs a consulting agreement first, then Priya Shah signs second. Set this to “One after another.” If both parents need to sign a school permission slip and either can go first, choose “All at once.”

How to set recipients and order

1

Add each person

Enter the name and email of every signer, approver, and copy recipient.
2

Pick a role

For each person, choose Signer, Approver, Copied in, or Viewer.
3

Choose the order

Toggle between “One after another” and “All at once.” In sequence mode, drag signers to reorder them.
4

Add a personal message (optional)

Write a custom note for each person. For example, tell Alex Chen, “Please review section 3 before signing,” and tell Priya Shah, “Alex has already signed. Your turn.”

How the agent helps

When you draft with the agent, it often guesses the signers from your description and sets the order automatically. For example, if you say, “Offer letter for Jordan Lee, signed by HR first and then Jordan,” the agent sets HR as signer 1 and Jordan as signer 2. You can always change the order, add more people, or remove someone before you send. The agent waits for your review on a card before anything goes out.
Ask the agent, “Who still has to sign?” at any time to see the status of every document in your workspace.

What signers receive

Each person gets a signing link by email. The link is private and unique to them. No one else can use it, and no one sees another person’s fields.
  • Signers see their assigned fields and a Finish button.
  • Approvers see an Approve button after reviewing.
  • People copied in receive the sealed PDF after the last signer finishes.
  • Viewers get read-only access.
On sequential documents, later turns only get emailed when their turn arrives. The email shows their position in line and who has already finished.

Checks before you send

Before pressing Send, quickly confirm:
  • Every signer has a field assigned. Unsigned signers will hold up the document.
  • The order matches your business process. Changing order after sending can delay the document.
  • Names and emails are correct. A typo sends the link to the wrong person.
