# Templates and open links in Suresign: save time on repeat documents

> Save documents as templates for reuse. Create open links so anyone can sign without being invited first. Free plans get 3 templates and 1 open link. Pro and Business plans are unlimited.

If you send the same kind of document over and over, templates and open links save you time. This page explains both features and when to use each one.

## What is a template

A template is a saved document setup you can reuse. It stores the file, the field placements, the signing order, and the general structure. Each time you use it, you fill in the new signers and send.

Example: You send a consulting agreement to every new client. Set it up once as a template. Next time, click the template, add the new client's name and email, and send in seconds.

| Plan | Templates allowed |
| - | - |
| Free | 3 templates |
| Pro | Unlimited |
| Business | Unlimited |

<Note>
  Going down a plan takes nothing away. Templates you already saved stay. You just cannot add more until you are back within the limit.
</Note>

## How to create a template

<Steps>
  <Step title="Prepare a document">
    Upload a file, place fields, and set any default recipients or signing order.
  </Step>

  <Step title="Save as template">
    Choose Save as template and give it a clear name, such as "Consulting Agreement." You can also add a description.
  </Step>

  <Step title="Reuse it anytime">
    From your workspace, start from the template instead of uploading a new file.
  </Step>
</Steps>

The template stores signer names as role labels. For example, "Client" and "Sales rep." When you start a document from the template, you fill in the real names and emails for each role.

## What is an open link

An open link turns a one-signer template into a public URL. Anyone with the link can fill and sign without you inviting them first.

Example: You need a liability waiver for event attendees. Create a one-signer template, turn it into an open link, and post the link on your website or email it to a group. Each person who opens it gets their own signing session.

| Plan | Open links allowed |
| - | - |
| Free | 1 open link switched on at a time |
| Pro | Unlimited |
| Business | Unlimited |

<Warning>
  Open links are public. Anyone with the link can sign. Do not use open links for confidential agreements or documents with sensitive data.
</Warning>

## How to create an open link

<Steps>
  <Step title="Start with a template">
    Open links require a saved template. The template can have more than one role, but exactly one role must be left open for the visitor. All other roles need fixed names and emails.
  </Step>

  <Step title="Enable open link">
    In the template settings, turn on the open link option. Suresign generates a public URL from the template name.
  </Step>

  <Step title="Set who signs after the visitor">
    For any other roles on the template, such as a countersigner or approver, enter the fixed names and emails. They only act after the visitor has signed.
  </Step>

  <Step title="Share the link">
    Copy the URL and share it by email, chat, website, or QR code.
  </Step>

  <Step title="Track completions">
    Each completion creates a separate sealed document in your workspace. You can review and download each one.
  </Step>
</Steps>

You can switch an open link off and on again. Only links that are switched on count against your plan limit.

## Templates vs open links

| Feature | Template | Open link |
| - | - | - |
| Who can use it | Only people you invite | Anyone with the link |
| Number of signers | Up to 50 | One visitor per submission, plus fixed roles |
| Best for | Repeat contracts, NDAs, offer letters | Waivers, intake forms, consent forms |
| Setup time | Invite signers each time | Set once, share everywhere |

## Using the agent with templates

You can ask the agent to create a template from a draft or an existing document. For example:

* "Save this NDA as a template."
* "Make an open link from my waiver template."

The agent will set it up and show you a card to confirm before it saves anything.

<Tip>
  The agent can also answer questions about your templates, such as "How many people signed the waiver this month?"
</Tip>

## Managing templates

From your workspace, you can:

* Rename a template to keep things organized.
* Update the file or fields in a template without affecting past sends.
* Delete a template you no longer need.
* Duplicate a template to create a variation.
